Outgrown Your Inspection Software? Here’s What to Look For Next

Outgrown inspection software shows up as rising manual workarounds, support that can’t keep pace, and a cost model that penalises growth, rather than one single obvious failure point.

How do you know your inspection software has been outgrown?

The clearest sign is that your team has started building manual workarounds around the platform you already pay for. Three businesses we’ve worked with, GAP Group, JK Lifting and Brandon Hire Station, all reached that point from different directions.

The platform stops scaling with your volume. GAP Group’s Test, Inspect and Certify division runs 17 engineers through 100,000 inspection events a year. Their previous platform stopped keeping pace, and engineers reverted to paper rather than work around a system that wasn’t helping them.

“The system we were using had reached the point where the workarounds were almost as much effort as the job itself,” says Paul Harrison, National Test, Inspect & Certify Manager – Lifting Division at GAP Group. “With the volume of inspections we carry out, that quickly turned into days of wasted time and unnecessary administration.”

Every change costs extra. JK Lifting could pinpoint the exact moment their old software stopped being worth it: functionality that needed workarounds, support that was slow to respond, and a pricing model that charged extra every time the platform needed to do something new, including an upfront cost just to get started. CheckedOK works differently: there’s no upfront cost to onboard, and future platform releases are included in the subscription rather than billed separately.

You’re weighing up a rebuild instead of a switch. Brandon Hire Station’s previous system was custom-built for them in 2017, specified to run on Samsung tablets to match their device standard at the time. Eight years on, that original spec had become a constraint rather than a choice, and the question wasn’t whether they needed software, it was whether to commission another bespoke build or check if an off-the-shelf platform had caught up.

If any of that sounds familiar, the issue usually isn’t that your original choice was wrong. It’s that the platform hasn’t kept pace with how your business has grown.

Why software that exists doesn’t mean you’re covered

Software that isn’t built to scale with you creates its own risk, usually invisible until you look at what’s propping it up. Behind GAP Group’s outgrown inspection software sat a manual workflow holding everything together: enquiries in Excel, jobs tracked through Outlook, risk assessments attached by hand, paper timesheets scanned and re-entered. Every job touched the data multiple times. The more jobs went through, the greater the risk of something slipping.

That’s the real cost of outgrown software. Not just inconvenience, but the manual workaround that grows up around it, and the risk that workaround carries when you’re managing statutory compliance.

Should you rebuild custom software or switch to a platform?

For most businesses, switching to an established platform is faster, cheaper, and lower-risk than commissioning a new bespoke build, provided the platform genuinely covers your operational requirements.

Brandon Hire Station is exactly the scale of operation where a custom rebuild looks like the obvious answer. What they found instead was that the market had moved on since their original system was built. The functionality their bespoke platform had been designed to deliver was now available as standard, without the development cycle, project management overhead, or ongoing cost of maintaining custom software.

“We knew technology had moved on,” says Joseph Antoine, Head of Assurance at Brandon Hire Station. “The question was whether we needed another custom build or if the market had caught up with our requirements.”

What CheckedOK is, in one sentence

CheckedOK is a SaaS inspection and compliance management platform built for lifting, plant and inspection teams managing LOLER, PUWER and other statutory compliance requirements, priced per engineer with no per-asset fees and no upfront cost.

What changed once the switch was made

For GAP Group, the TIC team now runs from a single system, with admin time per job dropping significantly and KPI reporting generated automatically rather than compiled by hand.

“Our engineers can get on with the job, the office is no longer buried in paperwork, and our clients receive everything they need without us having to manually compile reports or chase documentation,” says Paul Harrison. “It simply works the way a modern inspection system should have worked all along.”

For JK Lifting, the change showed up most clearly after a job was finished. Engineers input data live on site, so certificates reach customers immediately. “The software has significantly reduced costs by removing the need for follow-up admin once reports are completed,” says Scott Brown, Technical Sales at JK Lifting.

For Brandon Hire Station, the difference was speed and autonomy. “The app operates significantly quicker than the legacy version,” says Joseph Antoine. Examiners can now manage their own jobs directly rather than relying solely on the web portal.

What to look for when evaluating inspection software

If you’re evaluating a switch, here’s what’s worth checking before you commit:

Pricing that doesn’t penalise growth. Look for no upfront cost to onboard, no per-asset fees, and future platform releases included in your subscription rather than billed as extras every time you need something new.

Support that actually responds. Ask directly what response times look like and how issues get escalated. Slow support is a theme we hear repeatedly from businesses switching platforms.

Flexibility across inspection types and regulations. If your operation spans multiple regulations, varying customer requirements or runs across multiple countries, the platform should handle that without manual workarounds for each one.

Offline capability and device flexibility. Field teams need software that works without a live connection and isn’t tied to a single device or operating system.

A platform that scales with you, not just for you today. Ask what happens to cost, support and functionality as your inspection volume increases, not just what the platform looks like at your current size.

Capacity for genuine RFID and NFC integration, if asset identification and traceability matter to your operation, rather than being limited to manual serial number entry.

When the right move is to look again

None of this means your original choice of software was wrong. GAP Group’s previous platform worked for them once. Brandon Hire Station’s bespoke build served them well for the better part of a decade. Software ages and businesses change, and what was right five years ago isn’t automatically right now. There’s a plethora of reasons you might have outgrown your inspection software. There’s a plethora of new options out there too. It’s a minefield.

If your team has built manual workarounds to your current platform, if every change comes with a price tag, or if you’re weighing up another bespoke build, that’s the signal worth paying attention to. Your current system probably wasn’t a mistake. What matters is whether it still fits where the business is now.
