Manual tracking and compliance pressure in medical equipment decontamination

Essential healthcare’s decontamination process involves multiple stages: washing, cleaning, servicing, bagging and reassembly. Each mattress system comprises three separate assets – base cover, top cover and inner mattress. When covers went into industrial washing machines, there was no way to match them back together afterwards.
Manual record-keeping meant writing down asset details at every stage. Staff documented which technician cleaned which asset, when it was serviced and whether it passed quality checks. This approach was time-consuming and risked creating weak audit trails.

“We didn’t necessarily track the covers and the inners, and we did manual certificates to say ‘yes, we’ve cleaned this’” says Lucy Mathie, IT & Business Systems Support. “But if we were asked to prove that unequivocally, we couldn’t.”

The company also hires out pressure-relieving pumps and specialised bariatric equipment. Each asset type required different handling procedures, different service schedules and different compliance documentation. Manual tracking was slowing down throughput and creating bottlenecks in their decontamination centre.

The solution? RFID tags and readers for equipment hire traceability

Essential Healthcare needed to track individual assets through their entire lifecycle – from delivery to decontamination to rental and back – without manual entry at every step.
They considered active tracking solutions using mobile networks but quickly identified limitations. “A lot of hospitals are old Victorian buildings made of 6-foot-thick stone,” explains Lucy. “When you’re in there, you don’t get signal on your phone, never mind an asset trying to get a signal out.”

Passive RFID offered a practical alternative: no batteries to maintain, tags that survive industrial washing cycles, and a commercially viable price point. Tags could be read instantly with handheld scanners, giving staff the traceability they needed without requiring constant connectivity.

Essential Healthcare worked with CoreRFID to implement RFID tags across their business. Different asset types required different tag formats: laundry-compatible tags for mattress covers that go through washing machines, durable labels for pumps and bariatric equipment.

Each asset now carries its own unique identifier. When a mattress system returns from a hospital, staff scan the top cover before it goes into the washing machine. The cover’s entire history – patient count, cleaning cycles, repairs – stays with that specific tag. There’s no need to keep covers matched to their original mattress because each asset maintains its own audit trail.

The RFID hardware integrates with Essential Healthcare’s bespoke software. Handheld scanners read the RFID tags at key workflow points, automatically updating the database and triggering quality control checks.

CoreRFID supplied passive UHF RFID tags in two formats: laundry-compatible tags rated for industrial washing cycles up to 85°C and AD Dogbone® tags (94 x 24mm) with NXP UCODE 7XM chips offering up to 2048-bit user memory. Operating at 860-960 MHz and compliance with ISO 18000-6C standards, both tags are read by Essential Healthcare’s TSL handheld readers for seamless workflow automation.

RFID implementation results: time savings and quality control

Asset tagging time dropped by 50% – from 3 minutes per asset to just 90 seconds. Across 12,818 systems per year (four assets per system on average), that delivers 16 minutes saved per system throughout the decontamination process.

The annual impact: 3,418 hours saved, equivalent to approximately 950 working days. Staff who previously spent time writing down asset numbers and manually completing certificates can focus on actual decontamination work.

The system acts as an automatic quality gate. Staff open the assembly module on touchscreen terminals and scan three tags – base cover, top cover and mattress inner. The software checks that all three assets are at the correct status and haven’t been flagged for repair.

“If all the steps haven’t been done, when you try to assemble it, the system won’t let you. Incomplete or improperly cleaned equipment can’t be dispatched to customers.”

The system provides bulletproof traceability. Every asset carries a complete history of where it’s been, which wards used it, when it was last serviced and who performed the work. If a hospital has queries about equipment hygiene, Essential Healthcare can pull up detailed records showing exactly when that specific cover was washed, at what temperature and for how long.

It’s a safeguard Essential Healthcare haven’t had to draw on, but should such an incident occur, they are able to instantly demonstrate compliance with stringent procedures.

“The rental side is heavily fed back to the customer, and it’s only possible because we have the tags in those assets,” Lucy notes. Some benefits can’t be measured purely in time saved. “In terms of rentals admin, I don’t think I can quantify it. There is no way to replicate this process via a manual method,” Lucy explains. “We would not have accurate invoicing, reporting or traceability.”
